Running a profitable PG: 7 operational habits that protect your margins

· 5 min read · Intixus Technologies

A paying-guest business looks simple from outside: rooms, beds, monthly rent. In practice, margins are decided by small operational habits — how quickly you fill a vacant bed, how consistently you collect rent, and how cleanly you settle deposits. Here are seven habits we see in well-run PGs.

1. Know your live occupancy, every day

A vacant bed is lost revenue you can never recover. Keep a live view of occupied, vacant, and notice-period beds — not a register updated at month end. When a tenant gives notice, start marketing that bed immediately.

2. Price by sharing type, not by room

Single, double, and triple sharing have different demand. Track occupancy and rent separately for each sharing type, and review pricing every quarter against local demand.

3. Make rent due dates predictable

Pick a clear rent cycle — a fixed date or the tenant’s joining date — and stick to it. Predictable due dates reduce follow-ups and arguments.

4. Automate reminders

Manual follow-ups cost the owner or manager hours every month. Send polite reminders a few days before the due date and on the due date, on WhatsApp, where tenants actually read them.

5. Record deposits and deductions transparently

Most PG disputes are about deposits. Record each deposit at joining and log any deductions — damages, unpaid dues — with a note as they happen. At checkout, the settlement should take minutes, not an argument.

6. Keep tenant records complete

Store ID proof, emergency contact, joining date, and agreement terms for every tenant. It protects you legally and makes police verification straightforward.

7. Look at one dashboard across properties

If you run more than one property, compare occupancy, collections, and dues side by side. The property with the most overdue rent usually needs process attention, not more marketing.

Putting it together

These habits are hard to sustain on spreadsheets once you grow beyond a few rooms. A PG management system such as InxSuite PG keeps beds, tenants, rent, deposits, and reminders in one place, across every property you run.
